2026–2027 Room Parent To-Do Checklist

Sign-up to be a room parent for your child’s classroom (space is limited).
Attend the training meeting: Monday, September 14, 2026 • 6:30 PM – 8:30 PM in the High Plains Library.

Meet Together as a Grade Level

Choose 1 Room Parent Liaison, 1 Treasurer, and 1 Communications Liaison (provide names and contact info to Room Parent Coordinators).
Receive your designated Teacher Liaison from Room Parent Coordinators.
By September 25: Write your introductory email. The Room Parent Liaison will send it to the Teacher Liaison for distribution to families in weekly newsletters.
Plan the Winter Party:
  • Hawks with Heart Service Project
  • Games / Crafts
  • Food / Drinks
  • Create the SignUp Genius link and send to Classroom Communications Manager (highplainsRP@gmail.com)

Meet Together as a Classroom Group

Choose 1 Room Parent to be the PTCO / Community Liaison (provide name and contact info to Room Parent Coordinators).
Identify your teacher’s birthday (provided by Room Parent Coordinators) and plan celebrations.
Discuss day-of logistics and running order (service project, crafts, snacks, volunteer assignments).
November 20, 2026: Attend the annual Hawk Fest (Auction) at the Curtis Ballroom.
• PTCO/Community Liaisons communicate volunteer needs to classroom families and fellow room parents.
Winter Party Prep (By November 30): Send your Grade Level SignUp Genius link for donations to highplainsRP@gmail.com for website posting.
• Draft a party donation blurb and send with the link to the Teacher Liaison for the weekly newsletter.

🎉 Day of Winter Party • Friday, December 18, 2026

1:35 PM – 2:45 PM: 1st Grade  |  1:45 PM – 2:45 PM: K, 2nd, 3rd, 4th, 5th
(Preschool Party: Thursday, December 17, 2026 • 10:15 AM – 10:55 AM)

Arrive early to sort and distribute donated snacks, drinks, and materials across grade-level classrooms.
Host and run the classroom Winter Party.
Email Robin Andersen (andersen.robin6510@gmail.com) with your Hawks with Heart project and recipient organization.

Valentine’s Day Party Preparation

By January 29, 2027: Meet with Grade Level Room Parents to plan the Valentine’s Party (games, crafts, food/drinks, and SignUp Genius creation).
By January 29, 2027: Meet as a Classroom Group to finalize day-of flow, activity timeline, and volunteer roles.
By January 29, 2027: Send Grade Level SignUp Genius link to highplainsRP@gmail.com for website posting, and provide the announcement blurb to the Teacher Liaison for the weekly newsletter.
